Using the workload view to manage team capacity

The Workload view in Workly gives you a visual overview of how tasks are distributed across your team members. It helps project leads identify who’s overloaded and who has capacity for more work.

Access the Workload view

  1. Open any project
  2. Click the Workload tab in the view tabs at the top

The Workload view shows each team member with their assigned tasks, making it easy to see the distribution at a glance.

What you can see

  • Task count per member — How many tasks each person is responsible for
  • Task breakdown by status — See which tasks are to-do, in progress, or completed
  • Unassigned tasks — Tasks that haven’t been assigned to anyone yet

Balance your team’s workload

Use the Workload view during sprint planning or weekly check-ins to:

  • Identify team members who are overloaded with too many tasks
  • Find team members with spare capacity to take on more work
  • Reassign tasks by clicking on a task and changing the assignee
  • Spot bottlenecks where too many tasks are stuck in one status

Combine with filters

Use the filter panel alongside the Workload view to narrow down what you see. For example, filter by priority to see only high-priority task distribution, or filter by due date to focus on upcoming deadlines.
